Board Meeting Minute Archives

Physical School Board Archives

On this page: Scanned board meeting minutes from 1903 - 2016 from Chartiers Valley, Scott Township, Heidelberg, and Bridgeville school districts.

Before public records shifted to digital publishing, most school board meeting minutes were either handwritten or typed and stored in physical legal collections. Chartiers Valley began transitioning to online board meeting minutes in 2013, though it continued producing physical records until 2016. Archived web records can be found here.

In 2025, we launched a mission to gain access to the original physical records and begin digitizing them for public viewing. After mediation through the Pennsylvania Right-to-Know office, the district granted us access to the entire collection for three days. The records—spanning 35 legal-sized cardboard file drawers (each 35” long)—include meeting minutes from pre-Chartiers Valley districts up to 1966, with Chartiers Valley School District minutes following thereafter. We were able to scan three of the thirty-five drawers, approximately 12% of the total collection.

Below, you'll find the meeting minutes we were able to digitize from their original print format. Each PDF averages around 1,000 pages. Earlier records contain far fewer pages per meeting, but the volume of documentation grew exponentially over time. For context: in the early 1900s, 300 pages could represent over 20 years of meeting minutes, whereas by the 1990s and 2000s, more than 30,000 pages might represent just a single year. All typed records have been processed with OCR (Optical Character Recognition) to allow for easy text search. Handwritten records, however, have not yet been OCR’d due to the prohibitively high cost.

There are still many more records left to digitize, and time is running out. Thankfully, all documents remain in the custody of the Chartiers Valley School District. Unfortunately, in recent years the district relocated them to non-climate-controlled storage, significantly accelerating their deterioration. We chose to begin with the oldest documents, dating back to 1903, in an effort to preserve those most at risk of being lost.

We still need your help. So far, we’ve digitized just 12% of the collection, and we want to preserve the rest. These are not just administrative documents; they offer a rich record of community life. In places where schools were the heart of the neighborhood, the minutes reflect a wide range of voices, experiences, and values—documenting the evolution of our communities over time.

Please consider supporting this important work. The estimated cost to professionally digitize the remaining collection is nearly $20,000. If you're able, we invite you to donate and help us preserve this valuable piece of local history.

Scott Township School District was an independent district providing education for residents of Scott Township. Scott Township entered the jointure in 1955 and merged into the Chartiers Valley School District in 1960.

The following records were located in the custody of the Chartiers Valley School District. Upon the formal consolidation of the Scott Township School District into what is now the present-day Chartiers Valley School District, the final meeting of the former board authorized the transfer of all district assets and official meeting minutes.

The records, originally bound in physical volumes, have suffered decades of deterioration. They are housed in a leather-bound book of uranium-orange hue, possibly formerly suede. Due to their fragile condition, the documents were digitized using the same overhead, touchless scanning equipment used in the yearbook preservation project. Despite this technology, our fingers were stained orange for several days after the scanning session.

It is extraordinary that these records have endured for 122 years, surviving the effects of paper aging, repeated transfers, and long-term storage. We extend our gratitude to the Chartiers Valley School District for granting access and permission to preserve these historically significant materials in permanent digital form.

We’re proud to present digital scans of Scott Township School District board meetings from 1903 to 1966. There are several periods of time missing and not in the possession of the Chartiers Valley School District. All records of this period across all former districts were stored together in the same physical box. At this time, we unfortunately believe any time periods listed below as missing have been lost to time.

The Bridgeville School District was an independent district providing education for residents of the borough of Bridgeville. Bridgeville entered the jointure in 1955 and merged into the Chartiers Valley School District in 1960.

The following records were located in the custody of the Chartiers Valley School District. Upon the formal consolidation of the Bridgeville School District into what is now the present-day Chartiers Valley School District, the final meeting of the former board authorized the transfer of all district assets and official meeting minutes. Among all pre-1966 documents, the Bridgeville meeting minutes were the best preserved. The original leather binding had been removed some time ago, leaving the pages largely undamaged by deterioration. Although the pages have yellowed significantly, they remain legible. These documents were scanned using a touchless overhead projector to protect the condition of the original pages.

We are proud to present digital scans of Bridgeville School District board meeting minutes from 1933 to 1966. Please note that several time periods are missing and are not in the possession of the Chartiers Valley School District. All records from this era, across all former districts, were stored together in the same physical box. In response to a Right-to-Know request, Bridgeville confirmed that the borough holds no records from its former school district. Unfortunately, these documents appear to have been lost to time.

The Heidelberg School District was an independent district providing education for residents of the borough of Heidelberg. Heidelberg entered the jointure in 1955 and merged into the Chartiers Valley School District in 1960.

The following records were located in the custody of the Chartiers Valley School District. Upon the formal consolidation of the Heidelberg School District into what is now the present-day Chartiers Valley School District, the final meeting of the former board authorized the transfer of all district assets and official meeting minutes.

Unlike other districts where we located records dating from 1903 to 1966, Heidelberg transferred only records from 1962 onward to Chartiers Valley. In response to a Right-to-Know request, Heidelberg reported that earlier records were destroyed in a flood in the municipal building’s basement and subsequently discarded. Unfortunately, these documents have been lost to time.

We've been unable to locate any records from Collier Township. Chartiers Valley did not have Collier's pre-1960 records that lawfully must be within their possession.
